If your VScape account includes Leonardo’s Workflow & Approval Engine, it’s important to maintain correct user permissions to ensure that the Workflow & Approval Engine functions properly.
There are two types of users that should be using VScape when making use of Workflow & Approval. The first is an Administrator (Corporate Level) and the second is a Property Level user.
For administrators, it’s important that the full set of permissions is granted. This full set of permissions will allow them the ability to create users but more importantly, approve all content that comes through the workflow and approval system. Administrators must have permissions on both the Corporate tree and the Properties tree.
For the users who manage content that needs to go through Brand Approval, they must only have access to the Properties tree with a specific set of permission. They can only have permissions to:
- View Folder Information
- View Property Information
- Sequence Distributed Media
- Propose Distributed Media Changes
- View Distributed Media
- Administer Uploaded Media
- Edit Uploaded Media
- View Sandbox Items
- Upload and Edit Media
Any other variation of this set will prevent the content from going into brand approval.
You can also set up a user for ‘view only’ access. This means they can only view the content in VScape and cannot manage it in any way. This can simply be set by choosing ‘Basic User’ from the pre-created permission sets.
